ROLE OVERVIEW
Production Coordinators serve as zone leads responsible for coordinating performers and talent within designated stadium areas, supporting the execution of rehearsals, hospitality programming, and live game-day production. This role is integral to maintaining the timing, flow, and operational readiness of live entertainment elements across premium hospitality and event spaces.
Working closely with the XMC team and broader production staff, Production Coordinators manage talent movements, monitor show flow, and facilitate clear, consistent communication between performers, talent, and production teams within their assigned zones. The role requires strong organizational skills, attention to detail, and the ability to respond quickly and effectively within a fast-paced, live event environment.
Production Coordinators play a key role in delivering a seamless and elevated guest experience by ensuring all talent-facing elements of the program are executed smoothly, professionally, and on schedule. They also support rehearsals, training sessions, and pre-event operational preparation to ensure all show elements are aligned and ready for execution.
CORE RESPONSIBILITIES
Serve as a zone lead responsible for coordinating performers and talent within assigned stadium and hospitality areas
Support rehearsals and assist with the execution of live show elements and hospitality programming during game days, event days, and additional logistics days
Facilitate clear communication between production teams, performers, and talent to ensure clear direction and smooth coordination
Monitor show timing, cueing, and activation flow within designated zones to maintain alignment with production schedules
Identify and troubleshoot operational challenges in real time, implementing solutions or escalating issues as required
Oversee talent readiness, movement, and positioning to support smooth execution of programming
Assist with pre-event logistics, preparation, and operational setup for rehearsals and live events
Support training sessions, rehearsals, and coordination efforts leading up to event days
Maintain on-call availability during designated periods (including the day before and after event days), with the ability to report on-site if operational support is required
Maintain a professional, organized, and supportive environment for performers and talent while ensuring production standards and safety protocols are upheld
IDEAL CANDIDATE
Confident, professional, and capable of coordinating performers, talent, and vendors within a live event environment
Excellent communication and interpersonal skills, with the ability to provide clear direction in fast-paced settings
Highly organized and detail-oriented, with strong situational awareness
Strong problem-solving abilities and able to make quick, effective decisions under pressure
Calm, adaptable, and solutions-focused in dynamic, high-pressure environments
Comfortable managing multiple priorities while maintaining a high standard of execution and professionalism
EXPERIENCE
2+ years’ experience in a leadership or team management role
Experience in experiential marketing, live events, event production, hospitality, or entertainment environments
Experience coordinating performers, talent, or event staff considered a strong asset
Background in sports, stadium, or large-scale event environments preferred
Experience supporting rehearsals, show flow, or live event execution is an asset
REQUIREMENTS
Must be legally eligible to work in Canada
Availability throughout the full contract period, including evenings, weekends, and event days
Driver’s license with clean driver’s abstract and access to a vehicle is considered an asset
Access to a mobile phone and computer with reliable data/Wi-Fi capabilities
Ability to stand for extended periods and lift up to 50 lbs. (where applicable)
