ROLE OVERVIEW

Working with the Molson Coors Account Team, the Regional Activation Coordinator serves as XMC’s local presence in the Western Canadian market, acting as the on-the-ground liaison between XMC, Molson Coors, local properties, event partners and field staff. The Regional Activation Coordinator will proactively identify opportunities, flag risks, and provide real-time insights from the field to inform national strategy.

 

The Regional Activation Coordinator will assist with strategic development, relationship management, brand integration, and the coordination of local events ranging from samplings to large-scale executions.

 

Responsibilities include managing timelines, tracking budgets, preparing client-ready documents, local property and vendor communication, staffing support, Brand Ambassador management, and ensuring all deliverables meet brand standards. This role will also involve liaising with vendors, coordinating logistics, and supporting on-site event execution to deliver exceptional consumer experiences and contributing to recruitment and staffing activities to ensure smooth and effective program delivery.


The ideal candidate has excellent communication and interpersonal skills, is bilingual in French and English, a proactive and problem-solving attitude with a strong attention to detail, and the flexibility to excel both independently and within a cross-functional team.

CORE RESPONSIBILITIES

Account Management

  • Support the account management team in day-to-day client, vendor and property communications, ensuring timely and effective responses

  • Handle administrative tasks related to the account, such as scheduling meetings and maintaining project documentation

  • Be a business builder, not a brief taker


Regional & Market Leadership

  • Act as XMC's key regional contact for Western Canada based properties, venues, suppliers and partners

  • Build and maintain strong local relationships to support seamless execution and long-term collaboration

  • Monitor local market conditions, event landscapes and competitor activity, sharing insights with the broader Molson team

  • Represent XMC and Molson brands professionally onsite at activation and industry events


Recruitment

  • Support the XMC Staffing Solutions business unit

  • Where required, host candidate interviews, orientations, and trainings with Toronto team 

  • Where required, accurately track and manage staff check-ins/outs during event programming

  • Maintain accurate information of staffing roster (contact list, comp cards, BA profiles, etc.) 

  • Where required, maintain schedules for rotating staff 


Project Management

  • Responsible for working with field staff team to source, train, and manage all field staff

  • Develop staff training manuals for all activations

  • Provide constant communication and direction for field staff, ensuring expectations are set and client deliverables are met

  • Hold suppliers and teams accountable to deadlines for production and execution


Administration

  • Prepare presentations, reports, and other client-facing documents

  • Support with budget building by providing accurate vendor costs and field staff hours

  • Contribute to budget management by tracking vendor invoices and ensuring vendor payments are issued on time

  • Responsible for ensuring expenses are submitted on time each month and coded appropriately for program reconciliation

SKILLS & EXPERIENCE

  • Bachelor’s degree in marketing, communications, business, or a related field

  • Previous internship or work experience with an agency and/or in the marketing/events field

  • Excellent organizational skills and attention to detail

  • Ability to build relationships with both internal and external working teams

  • Strong technology skills specifically in Microsoft Office 365

  • Experience in the event, hospitality, and client services industry is an asset

  • Availability to work flexible hours, including evenings and weekends, based on event schedules

  • Comfortable working in a remote environment with frequent virtual collaboration

  • Comfortable managing multiple priorities, deadlines, and market-specific challenges 

  • A network of Brand Ambassadors, Promo Models, Field Marketers, Team Leads, etc. considered an asset

  • Bilingual (French/English) is an asset

  • Willing to travel to the United States and across Canada, as may be required

  • Valid driver’s licence

  • Experience in the Sport and Entertainment Space is an asset
